How do you build a UWV-proof reintegration file?

A well-structured reintegration file is crucial to prevent a wage penalty from the UWV.

What is a reintegration file?

A reintegration file contains all documents that show that you, as an employer and the employee, have made sufficient efforts to make reintegration possible. The UWV checks this file when applying for a WIA. Is the file not in order? Then, as an employer, you may be obliged to continue to pay a longer salary: a so-called wage penalty.

What should at least be included in a UWV-proof reintegration file?

A complete and correct file includes:

  • The company doctor’s problem analysis (no later than week 6)
  • The plan of action, drawn up with the employee (no later than week 8)
  • Review reports of progress interviews (every 6 weeks)
  • First-year evaluation reports (around week 52)
  • Reports from any experts such as employment experts
  • Decisions concerning the use of the second track (with justification)
  • Deployment and feedback of reintegration activities
  • Any changes in resilience or deployment options
  • The Final Evaluation (by week 91 at the latest)

Note: all documents must be signed by employer and employee.

What are the most common mistakes?

  • Incomplete or missing documents
  • No current adjustments due to changed circumstances
  • No clear substantiation of choices (e.g. start second track)
  • No reporting of contact moments
  • Documents drawn up too late (such as action plan or evaluation)

How do you prevent a wage penalty?

Make sure you have a good structure, work with templates and involve a reintegration specialist or case manager. External guidance, such as from Care4Careers, helps you not miss anything and increases the chances of a successful WIA assessment.

A UWV-proof reintegration file is complete, timely and carefully substantiated. This prevents wage sanctions and increases the chance of successful reintegration.
